Data Entry & Searching -- Cross Referencing Names

New programming has been put into effect that will assist your office in data entry and searching for existing people/companies on the administrative system. Effective immediately, the system will automatically do the following cross-referencing:

  1. Last Name
  2. First Name
  3. Preferred Name - Will cross-reference with all of the described variations of first and middle**
  4. Middle Name*

* Cross-referencing which has always been in place and will continue
**New cross referencing for name

In the past, some of you have had to enter and file a person’s name multiple times in order to get all of the search capabilities that were needed on a name. Hopefully this new cross-referencing system will prevent that.

As always, when searching for a person and/or company, please check carefully before setting up a new id. We seem to be creating more and more duplicate ids. Duplicate ids clutter up the system and cross-referencing and makes it difficult to share data across files.

For both cross referencing and lookup purposes, special characters are removed from the names, such as &,#,%,[spaces], etc.
That means when you enter AT&T... it gets changed to ATT...
